A warehouse can physically contain 1,000 units while a Shopify store should only sell 720 of them. The difference is inventory status.

Products may be reserved for existing orders, waiting for receiving checks, damaged, returned, quarantined or still in transit from the supplier. A clear inventory status ecommerce warehouse model prevents those units from being treated as immediately available stock.

Only inventory that has completed the required receiving process and is not reserved, damaged, quarantined or otherwise restricted should be considered available to promise. Sellable Inventory

Sellable inventory has passed the required receiving checks, is stored in an active location and can be picked for a customer order. “Physically present” and “sellable” should not be treated as the same thing.

Reserved Inventory

Reserved stock has been allocated to an accepted order but may not have shipped yet. Reservation prevents the same unit from being promised twice.

For example, if 100 units are sellable and 15 are reserved, the store may have only 85 units available for new orders depending on the system’s logic.

Damaged and Quarantined Inventory

Damaged stock should be separated physically or logically from active picking locations. Quarantine is useful when the condition or identity is uncertain—for example, wrong supplier label, visible damage, failed inspection or a product awaiting seller approval.

Do not automatically move quarantined or damaged units back into the sellable pool just to make the store inventory number look higher.

In-Transit Inventory

In-transit stock has been shipped by the supplier but has not completed warehouse receiving. It can be useful for replenishment forecasting, but it is risky to treat it as sellable before the arrival date, quantity and condition are confirmed.

A supplier notice of “500 units shipped” does not guarantee that 500 sellable units will enter the warehouse.

Returned Inventory Needs Its Own Decision
