What Information Does a Fulfillment Provider Need for an Accurate Quote?

Asking a fulfillment provider, “How much does fulfillment cost?” usually produces a number, but not necessarily a useful quote.

Two Shopify brands can both ship 1,000 orders a month and have completely different fulfillment costs. One may sell a single lightweight SKU in a standard mailer. The other may carry 80 variants, build bundles, inspect every unit, use custom packaging and ship to customers across the US and EU.

Monthly order volume alone does not explain that difference.

A useful fulfillment quote checklist should give the provider enough operational data to price the actual workflow — and give you enough detail to compare two providers using the same assumptions.

For Shopify sellers and DTC brands moving from supplier-direct dropshipping into stocked fulfillment, this is especially important. Your cost is no longer just:

product price + shipping.

It can now include sourcing, domestic delivery in China, receiving, inventory handling, pick and pack, packaging, inspection, kitting, international shipping, returns and exception management.

At FulfillBros, we prefer to separate those cost drivers instead of hiding them inside one headline number. That makes it easier to see where a quote is competitive, where additional work is being requested, and what may change when the business scales.

Article Summary:

An accurate ecommerce fulfillment quote needs product dimensions and weight, SKU structure, order history, items per order, inventory profile, receiving requirements, packaging, quality-control rules, destination mix, returns, integrations and peak-volume assumptions. The best way to compare 3PLs is to normalize each quote into the same cost categories and calculate a realistic fully loaded cost per order.

Quick Answer: What Should You Send for an Accurate Fulfillment Quote?

If you want a quote that can be used for a real business decision, prepare these items:

InformationWhat to SendWhy It Changes the Quote
ProductProduct link, photos, unit and packed dimensions, weightHandling, packaging and shipping
SKU StructureSKU count, colors, sizes, variants, bundlesReceiving, storage and picking complexity
Order HistoryMonthly orders, daily average, items per orderWarehouse workload
Order MixSingle-item vs multi-item ordersNumber of picks and packing time
InventoryStock by SKU and replenishment frequencyStorage and receiving workload
InboundSupplier count, cartons, labeling and QC conditionReceiving and preparation
PackagingStandard or branded materials, inserts, kittingMaterials and labor
DestinationsCountry percentage splitShipping route and cost
Delivery TargetEconomy, standard or faster deliveryCarrier and route selection
ReturnsReturn rate and required handlingReverse-logistics workload
Sales ChannelsShopify, WooCommerce, Amazon, etc.Integration and order routing
Peak VolumeQ4, launch or promotion maximumCapacity planning
A better request:

Instead of “We do about 1,000 orders per month. What is your price?”, send:

“We average 1,000 orders/month, 78% are one-item orders, 18% are two-item orders, 4% contain three or more items. Average packed parcel is 420 g, 72% ship to the US, 18% to the EU and 10% elsewhere. We carry 16 active SKUs and use one branded insert.”

That is much closer to data a provider can actually price.

Why Two Fulfillment Providers Can Quote Very Different Prices

A low headline handling fee does not necessarily mean the provider will produce the lowest real invoice.

One provider may include:

  • Receiving

  • Standard packaging

  • Software

  • Account management

while another quotes those separately.

Shipping assumptions may also differ.

Provider A may quote an economy line. Provider B may quote a tracked route with a faster delivery target. Comparing those two numbers directly would not be meaningful.

The first job of a 3PL quote checklist is therefore to make sure every provider is quoting the same operation.

Separate Product Sourcing, Fulfillment and Shipping

For brands sourcing from China, it is useful to divide the commercial model into three layers.

Cost LayerTypical Items
1. Product / PurchasingProduct cost, supplier MOQ, customization, sampling and domestic supplier freight
2. Warehouse / FulfillmentReceiving, storage, picking, packing, QC, kitting and custom work
3. International LogisticsParcel shipping, freight, route surcharges, destination and product restrictions

Keeping these layers separate makes it much easier to identify where savings actually come from.

A supplier with a lower unit price may create more QC work. A cheaper shipping line may take longer. A slightly higher warehouse fee may include work another provider charges separately.

1. Provide Product and Packed-Parcel Data

Do not send only the product name.

Provide:

  • Product link or photos

  • Product category

  • Unit dimensions

  • Unit weight

  • Packed dimensions

  • Packed weight

  • Material

  • Retail value if relevant

  • Fragile / liquid / battery / powder / magnetic flags

For international ecommerce, packed dimensions can be more important than bare-product dimensions because carriers may price shipments using both actual and dimensional weight.

Do not guess packed dimensions if packaging has not been finalized.

Ask the provider to quote using a stated assumption and then re-rate the parcel after a physical packing test.

2. Explain Your SKU, Variant and Bundle Structure

Ten SKUs with clearly different products can be easier to manage than ten nearly identical colors, sizes or device variants.

Send:

  • Number of active SKUs

  • Variant count

  • Barcode availability

  • Similar-looking SKUs

  • Bundles

  • Multipacks

  • Packaging SKUs

  • Gift or promotional components

If a Shopify store sells a bundle made from three component SKUs, say so in the quote request. The warehouse may need three picks instead of one, or may need to pre-build the finished kit.

For stocked inventory, see how FulfillBros managesChina warehouse receiving and inventory.

3. Send Real Order Data, Not Only Monthly Order Volume

“1,000 orders per month” is not enough.

Provide:

  • Average monthly orders

  • Average daily orders

  • Orders by weekday if volume varies materially

  • Average items per order

  • Percentage of single-item orders

  • Percentage of multi-item orders

  • Average parcel weight

  • Recent growth rate

For an established Shopify store, a recent 30–90 day anonymized order summary is much more valuable than a forecast made from memory.

Why Items per Order Matters

Compare:

Brand ABrand B
1,000 orders/month1,000 orders/month
1.05 items/order3.4 items/order
Mostly one SKUBundles and mixed-SKU orders
Standard mailerCustom box + insert

The same monthly order count clearly does not represent the same warehouse workload.

4. Describe Your Inventory and Replenishment Profile

A provider should know:

  • Opening inventory by SKU

  • Units per carton

  • Average carton size

  • Supplier replenishment frequency

  • Expected weeks of stock

  • Seasonal inventory spikes

  • Slow-moving or long-tail SKUs

For sellers moving from dropshipping into stocked fulfillment, do not assume every SKU must be pre-purchased.

A more practical model may be:

  • Stock proven bestsellers

  • Keep test SKUs lean

  • Consolidate products from Chinese suppliers

  • Increase inventory only after demand is proven

FulfillBros currently has no required fulfillment MOQ, which makes this staged transition more practical for Shopify sellers testing a stocked fulfillment model.

Supplier factories and custom packaging producers can still set their own manufacturing MOQ.

5. Explain Receiving and Supplier Conditions

Receiving cost and workload depend heavily on how suppliers deliver inventory.

Tell the provider whether inventory arrives:

  • Pre-labeled

  • Barcoded

  • Mixed by SKU

  • Separated by carton

  • From one supplier

  • From multiple suppliers

  • With an ASN / packing list

  • With quantity or quality inspection required

Receiving 10 clean cartons containing one SKU is very different from receiving 10 mixed cartons from several suppliers with no usable barcode.

For a more detailed inbound process, see ourChina Warehouse Receiving Checklist.

6. Define Packaging, Kitting and Branding Before Asking for a Final Quote

“Custom packaging” is too vague to price.

Specify:

  • Branded mailer

  • Printed box

  • Tissue paper

  • Logo sticker

  • Thank-you card

  • Instruction insert

  • Bundle assembly

  • Gift wrapping

  • Subscription-box sequence

Whenever possible, provide a reference photo or mockup.

Packaging RequirementQuote Impact
Standard mailerSimple packing workflow
Printed boxMaterial production + storage
Insert cardAdditional component inventory and pack step
3-product bundleAdditional picks or pre-kitting
Market-specific labelsSKU / destination-specific handling

FulfillBros supportscustom packaging, kitting, labeling and repacking.

7. Replace “QC Required” with an Actual Inspection Scope

“Please check quality before shipping” cannot be quoted accurately.

Define:

  • Quantity check

  • SKU verification

  • Visual inspection

  • Accessory completeness

  • Simple function test

  • Sampling percentage

  • Full inspection if required

  • Photo evidence

  • Quarantine / failure rule

More inspection generally means more handling.

The provider needs to know what “pass” and “fail” mean before quoting the process.

8. Give a Destination Percentage, Not “We Ship Worldwide”

International shipping is often the largest variable in the fulfillment model.

Instead of:

“We ship worldwide.”

send:

MarketOrder ShareDelivery Target
United States70%Tracked standard
European Union18%Tracked standard
United Kingdom7%Tracked standard
Other5%Quote separately

FulfillBros works with 30+ logistics partners, allowing route selection to consider product type, parcel dimensions, destination, cost and required delivery speed. Selected US routes currently have an approximate 5–8 day reference.

Ask for aroute-specific international shipping quoteusing the actual packed product rather than a generic price table.

EU Orders Need Route-Specific Quote Assumptions

For EU B2C orders, the quote should clearly state:

  • Declared-value range

  • Product eligibility

  • Tax / duty model

  • Route code

  • Effective date

  • What is included in the quoted logistics cost

FulfillBros currently offers a dedicated EU solution for eligible B2C parcels under the applicable €150 threshold, with a preferential fixed-duty structure compared with the conventional route you described.

Because customs and route programs can change, this should appear in the live shipping quotation with an effective date rather than being treated as a permanent universal price.

9. Define Returns and After-Sales Scope

A provider cannot price “returns support” unless you explain what happens to a returned unit.

Possible services include:

  • Receive return

  • Photograph item

  • Inspect condition

  • Restock sellable unit

  • Repack product

  • Quarantine damaged unit

  • Coordinate resend

  • Provide shipping evidence

  • Dispose of inventory

Also provide your current return or resend rate if available.

FulfillBros offersafter-sales and fulfillment exception support. The dedicated support model is particularly useful when an order requires coordination between the seller, warehouse and logistics team rather than another anonymous ticket.

Under your current service positioning, business-hours after-sales cases can use the stated 20-minute response target.

10. Explain Your Shopify and Order Integration Requirements

Tell the provider:

  • Store platform

  • Number of stores

  • Sales channels

  • Order synchronization requirement

  • Tracking synchronization requirement

  • Inventory synchronization requirement

  • Manual review or hold rules

A Shopify store with automatic order import and tracking updates requires a different operational workflow from a seller sending spreadsheets manually.

FulfillBros supports ERP-connected ecommerce order processing as part of itsChina ecommerce fulfillment service.

11. Share Peak Season and Growth Forecasts

Average monthly volume can hide operational risk.

A brand averaging 100 orders per day may run 900 orders on Black Friday.

Provide:

  • Normal daily volume

  • Expected peak daily volume

  • Black Friday / Q4 plan

  • Influencer launch dates

  • Product-launch forecasts

  • Expected 6–12 month growth

The provider needs these numbers to evaluate capacity, inventory and carrier planning — not simply to increase the quotation.

How to Calculate Your True Fulfillment Cost per Order

Do not compare only the advertised pick-and-pack fee.

True Fulfillment Cost per Order = Receiving + Storage + Handling + Additional Picks + Packaging + Custom Work + Shipping + Returns + Software / Account Fees + Applicable Surcharges ÷ Total Shipped Orders

If sourcing from China is part of the commercial decision, calculate a second number:

Fully Landed Ecommerce Cost = Product Cost + Domestic China Cost + Fulfillment + Packaging + International Shipping + Applicable Duties / Taxes + Expected Return Cost

This gives a much clearer picture of unit economics than comparing only factory price or warehouse handling.

How to Compare Two 3PL Quotes Fairly

Put every provider into the same comparison table.

Costs Commonly Missing from Headline Fulfillment Quotes

Before choosing the “cheapest” provider, ask specifically about:

  • Additional item pick fees

  • Oversized-item handling

  • Relabeling

  • Barcode creation

  • Polybagging

  • Bundle assembly

  • Custom inserts

  • Photography

  • Inspection

  • Long-term or aging inventory

  • Returns processing

  • Disposal

  • Address correction

  • Shipping surcharges

  • Remote-area fees

  • Account management

  • Software or API charges

  • Monthly minimums

  • Peak-season surcharges

A line being absent from the proposal does not necessarily mean it is free.

Ask:“Is this included, not applicable, or simply not yet quoted?”

Check Quote Assumptions and Validity Dates

A professional ecommerce fulfillment quote should state its assumptions.

AssumptionExample
ProductStandard non-sensitive goods
Packed Weight420 g
Packed Size25 × 18 × 6 cm
DestinationUS Zone / country profile
Order Mix80% single-item
PackagingStandard mailer
Shipping RouteNamed service / route class
Quote DateYYYY-MM-DD
ValidityProvider-defined period

Shipping prices change with carrier rates, fuel, capacity, season and route conditions.

A quote from several months ago should not automatically be treated as today's shipping price.

Validate the Quote with a Pilot Before Scaling

Even a detailed quote still contains assumptions.

A pilot is the best way to validate them.

  1. Select one or several proven SKUs.

  2. Send a controlled quantity to the warehouse.

  3. Confirm actual packed dimensions and weight.

  4. Process real Shopify orders.

  5. Measure packaging time and additional picks.

  6. Review actual shipping charges.

  7. Compare the first invoice with the quotation.

  8. Correct assumptions before scaling inventory.

FulfillBros' no-required-fulfillment-MOQ model is useful here because a seller can validate the workflow with proven products before committing the full catalog.

When Product Sourcing Is Part of the Quote

For many Shopify sellers moving away from AliExpress-style dropshipping, the fulfillment quote is only part of the question.

They also want to know:

  • Can the same product be sourced more competitively?

  • Can another factory improve quality?

  • What is the supplier MOQ?

  • How quickly can the supplier replenish?

  • Can custom packaging be produced nearby?

FulfillBros uses 1688 as an important sourcing channel and also works across a wider Chinese supplier network.

That supplier access can help compare product costs instead of forcing a seller to buy from one fixed catalog.

The quote should still separate:

  • Product cost

  • Domestic supplier freight

  • Warehouse fulfillment

  • Customization

  • International shipping

This makes it clear whether savings are coming from sourcing, operations or logistics.

Category-Specific Quote Requirements

One generic fulfillment quote checklist will not cover every product category.

Fragile Products

Provide packaging photos, breakage history, cushioning requirements and inspection rules.

Electronics and Sensitive Goods

Flag batteries, magnets, liquid components or other shipping-sensitive characteristics before asking for freight prices.

Apparel

Provide size-color SKU count, folding, polybag, hangtag and return-processing requirements.

Dietary Supplements

For supplement projects, a useful quote may need to separate:

  • Formula customization

  • Sample development

  • Production quantity

  • Bottle / pouch / container

  • Label version

  • Batch or lot requirements

  • Expiry control

  • Receiving and QC

  • Fulfillment

  • Shipping eligibility

FulfillBros works with deeply integrated compliant source factories for selected supplement projects and can support custom formulations, rapid sampling and lower-MOQ production options depending on the specific project.

Again, factory production MOQ and warehouse fulfillment MOQ should be treated as two different things.

How FulfillBros Structures a Fulfillment Quote

For FulfillBros, an accurate quotation is not just a price request. It is the first design of the operating workflow.

We normally review:

  • Product link and specification

  • Potential 1688 / supplier sourcing options

  • SKU and variant structure

  • Monthly orders and growth

  • Opening inventory

  • China warehouse receiving requirements

  • Pick-and-pack structure

  • QC requirements

  • Custom packaging and kitting

  • Destination distribution

  • Shipping service target

  • Returns and after-sales

  • Shopify / ERP workflow

No Required Fulfillment MOQ

This is particularly useful for brands transitioning from dropshipping. You can begin with selected winning products instead of stocking every experimental SKU.

China Sourcing + Fulfillment in One Workflow

Strong supplier access, including 1688 sourcing, allows FulfillBros to compare purchasing options while the warehouse and logistics team evaluate the downstream cost.

A lower factory price is useful only when product quality, packaging, replenishment and shipping still support the business model.

30+ Logistics Partners

Instead of assuming one shipping provider fits every product and market, routes can be compared using actual parcel data.

Selected US routes currently have an approximate 5–8 day reference for eligible shipments.

Same-Day Dispatch for Eligible Stocked Orders

For warehoused orders meeting the applicable cut-off and normal processing requirements, same-day dispatch can be supported.

If an order requires manual review, special QC or unresolved customization, that exception should be handled before release rather than forcing an incorrect shipment through the same-day workflow.

Dedicated Account Support

A quote is not useful if nobody can explain what happens after onboarding.

FulfillBros uses dedicated account support so sourcing, inventory, packaging, shipping and after-sales questions have a clearer escalation path.

Current published pricing for the standard mainland-China model separates purchasing, fulfillment and shipping, with free setup, receiving and storage listed on theFulfillBros pricing page. Customized work and shipping are quoted according to actual requirements.

Fulfillment Quote Checklist FAQ

What information does a fulfillment provider need to give an accurate quote?

Provide product and packed dimensions, weight, SKU count, order volume, items per order, destination split, inventory profile, packaging, inspection, returns, integration and peak-season requirements.

Why can two 3PL fulfillment quotes be so different?

Providers may use different assumptions for storage, additional picks, packaging, shipping service, returns, software and account support. Normalize the quote before comparing the headline rate.

What is the most important information for an international shipping quote?

Packed weight, packed dimensions, product type, destination and delivery target are the most useful starting points. Sensitive products may require additional information.

Does more SKU variety increase fulfillment cost?

It can. Similar variants, complex receiving, bundles and low-volume long-tail SKUs can increase inventory and picking complexity even when total order volume remains unchanged.

Does no fulfillment MOQ mean my supplier also has no MOQ?

No. Warehouse fulfillment MOQ and factory production MOQ are separate. A fulfillment provider can accept low order volume while the product or packaging factory still has manufacturing minimums.

Should I choose the 3PL with the lowest pick-and-pack fee?

Not automatically. Compare the fully loaded cost per order, delivery performance, inventory accuracy, returns, integrations, account support and all fees that apply to your real order mix.

How long is a fulfillment shipping quote valid?

There is no universal period. Carrier rates, fuel, capacity and customs programs can change, so ask the provider to state the quote date and validity period.

Can I get a fulfillment quote before sending inventory?

Yes. Reliable product, order and shipping data can produce a useful pre-onboarding quote. A small pilot can then validate packed dimensions, handling assumptions and actual shipping cost before you scale.

Want a fulfillment quote you can actually compare?

Send FulfillBros your product links, SKU list, recent order data, destination mix, packaging requirements and target delivery speed.

We can review product sourcing, China warehouse requirements, fulfillment work and international shipping separately so you can see what is driving the real cost.
